PRACTICAL PDF GUIDE
How to copy text from a scanned PDF
Find out why PDF text cannot be selected, add a searchable OCR layer and export plain text without promising a Word layout.

Check whether the words are actually text
Open the PDF in a reader and try selecting a whole sentence, then search for a distinctive word. A scan can display perfectly readable letters while storing the page as a picture. If text is already selectable, try PDF to Text first. If only some pages are scans, review both page types rather than assuming the entire document needs the same treatment.
Run OCR on the scan
Choose OCR PDF, upload the file and select the languages printed on the pages from the available list. Fast uses a 200 DPI recognition preset; Standard and High quality use 300 DPI. Try a representative excerpt if small print or complex tables matter. Higher recognition resolution cannot repair letters missing from a blurred, cut-off or overcompressed scan.
Choose recognition languages, not translation
OCR recognizes text in a supported language; it does not translate it. The current service includes English and several other languages, but Hindi recognition is not currently offered. For an English document used in India, select English. For mixed-language material, choose only installed languages actually present, up to four. Do not choose English and expect Devanagari text to be recognized reliably.
Download a searchable PDF, then extract words
After OCR completes, download the PDF and search a known phrase. Open PDF to Text and upload that reviewed result when you need a UTF-8 text file. You can also copy from the searchable PDF in a reader. The text file is not an editable Word document and may not preserve the original columns, tables or page layout.
Verify the information before reuse
Compare names, totals, dates, punctuation and reference numbers with the page image. OCR can confuse a letter O with zero or join words that belong to different columns. For a table, compare a whole row rather than a single cell. Do not treat the recognized text as a verified transcription merely because the original page still looks correct.
If copying still fails
Check that you opened the OCR result rather than the source scan. Try searching a word from a clear paragraph. A damaged font encoding or unusual layout can also affect a PDF that already contains text. If the result remains empty, inspect the selected language and scan quality, keep the original and try a clearer source or a short sample before repeating a large job.
Keep your files under your control
The PDF tools process uploaded documents on the hosted service, with 100 MB per-file and 500-page job limits and shared usage quotas. Save the outputs to your device before temporary files expire. Temporary files expire automatically within 24 hours. The workflow does not provide guaranteed handwriting transcription, translation or accessibility certification.
