PRACTICAL PDF GUIDE

How to make a scanned PDF searchable with OCR

Identify image-only scans, select an OCR preset and language, follow page progress and check recognized text against the original.

First check whether the PDF already has text

Try selecting a sentence or searching a distinctive phrase in your PDF viewer. If selection fails and a page behaves like one large picture, OCR can add a recognized text layer. If useful text is already selectable, PDF to Text may be sufficient without another recognition pass.

Choose the language and preset

Open OCR PDF, upload the scan and select its document languages from the available list. Fast uses a 200 DPI recognition preset suited to clear printed scans. Standard and High quality use 300 DPI presets. A higher recognition resolution may help small text, but cannot restore detail missing from a blurred or cropped source.

Read progress correctly

The progress display reports completed pages from the worker. The time estimate describes page processing and can change as harder pages are encountered. Upload, queue time, final saving and output validation are separate stages. A free backend that has been asleep may also need to wake before processing begins.

Verify text and appearance

Download the result and search a phrase from the beginning, middle and end. Inspect words with accents, small numbers, tables and punctuation. OCR preserves original page images, but its recognized text can contain mistakes even when the page still looks correct. Compare anything you intend to quote or reuse.

A sensible workflow for a 200-page scan

Check the upload size first, then try a representative excerpt containing small text, a table and a typical paragraph. Use Fast for a clear printed scan, or Standard when the excerpt needs more recognition detail. Search several known phrases in the result and compare numbers with the source before committing to the full document. This sample checks quality; it is not a reliable total-time benchmark because pages can differ in complexity and the shared worker may be busy.

If words are missing or progress seems stuck

Confirm the selected language matches the printed text. Blurred letters, skew, decorative type and dense tables can reduce accuracy; a higher preset cannot recreate missing pixels. Upload, waiting for the worker and final output saving can occur without an increase in completed-page count. Keep the page open while a job is running and avoid repeatedly starting copies of the same job. If an explicit timeout or quota error appears, retain the original and follow the message before retrying.

Know the boundaries

This workflow is intended for searchable PDFs, not guaranteed perfect transcription, handwriting interpretation, translation or an editable Word layout. Difficult scans may benefit from a clearer source image. After recognition, PDF to Text can extract the resulting words into a UTF-8 file.
