PRACTICAL PDF GUIDE
OCR a large PDF: choose pages, quality and languages
Plan OCR for a long scan, avoid unnecessary work and understand completed-page progress and changing time estimates.

Inspect the source before sending a long scan
Check the actual file size and page count: the current service accepts up to 100 MB per file and 500 pages per job. A 200-page document can be inside the page limit but outside the byte limit. Clear printed scans usually need less recognition effort than dense, noisy or rotated pages. The free shared backend processes one job at a time, so there is no guaranteed completion time.
Separate text extraction from recognition
If a page already has selectable text, extracting that text may meet your needs without OCR. If you only need one chapter, use Extract Pages on the physical page positions before recognition. Keep the full original. Processing an unnecessary chapter increases both waiting and transfer without improving the excerpt you actually need.
Test a representative excerpt
Include a typical paragraph, the smallest print and one difficult page. Compare Fast with Standard if recognition quality is uncertain, then search known phrases and check numbers against the source. Do not multiply a one-page time by 200 and present it as a reliable forecast: page complexity, backend startup and other queued work can change the total.
Use the right preset and language selection
Fast uses a 200 DPI recognition preset and can suit clear printed scans. Standard and High quality use 300 DPI. The OCR pipeline retains the original page images; a faster recognition preset can still produce more transcription errors on small letters. Select only the supported languages actually printed in the document rather than every available choice.
Understand the progress stages
The page count reports completed work from the worker. Upload, waiting for available capacity, final saving and output checks are separate stages and may not advance that count. The remaining-time estimate adjusts as pages finish and describes page processing, not a guaranteed download-ready time. A sleeping free backend can also need to start before a job begins.
Avoid repeated copies of the same job
Keep the page open and follow the displayed status. Starting several copies of a large scan does not add worker capacity and can consume shared quotas. If the interface reports an explicit failure, retain your source and read the error before retrying. Splitting a document into meaningful parts can help review and stay within limits; it does not make this single shared worker process them all simultaneously.
Review the whole result before sharing
Search phrases from the beginning, middle and end, then check the hardest pages and important numbers. Save the searchable PDF locally and use PDF to Text separately if plain text is needed. The service stores temporary files for at most 24 hours; a restart can remove them sooner. Download promptly and keep a local copy once the review is complete.
